2.      Opening Statement: A concise introduction that states the purpose of the memo.

3.      Context/Background: This section provides necessary background information or context related to the memo's subject.

4.      Action Segment: Clear instructions on what actions are required from the recipient(s).

5.      Body: Detailed information elaborating on the subject matter, including any necessary explanations or clarifications.

6.      Conclusion/Call to Action: A summary that may reiterate the required actions or provide additional remarks.

7.      Attachments (if applicable): Any supplementary documents that support the memo's content

TO: All Staff

FROM: John Doe, HR Manager

DATE: December 7, 2024

SUBJECT: Change in Employee Timecard Policy

I am writing to inform you about an important change in our employee timecard policy effective January 1, 2025.

Due to recent changes in labor regulations, we will be implementing new procedures for submitting timecards. All employees will now need to submit their timecards electronically by 5 PM every Friday.
